Biometric attendance is usually bought for security and justified by payroll. Here is what decides whether it actually works on your site.
Most biometric attendance projects are sold on security and paid for by payroll. Understanding that inversion helps you evaluate a quote properly.
Fingerprint or face — the environment decides
Fingerprint readers cost less per door and are well proven. They become unreliable when hands are wet, dusty, dry or gloved, which rules them out for large parts of a factory, a timber unit, a kitchen or a clinic.
Face recognition is unaffected by hand condition and is contactless, which matters for throughput at shift change. It needs controlled lighting: a reader facing direct glare will frustrate everyone within a week.
The wrong choice produces a queue at shift change, and a queue at shift change is how a system acquires a reputation it never loses.
Why biometrics rather than cards
A card identifies the card, not the person. It can be handed to a colleague, which is exactly what buddy punching is. For businesses running shifts, eliminating that is usually the entire financial case.
For high-security areas the strongest configuration is card plus biometric together, so a lost or shared card opens nothing on its own.
What the DPDP Act 2023 requires
Biometric data is personal data under India's Digital Personal Data Protection Act 2023, which places real obligations on you as the employer.
You need a lawful basis for collecting it, and attendance management is a defensible one
Staff must be informed about what is collected and why
Access to the system must be controlled and limited to those who need it
You should know where the data is stored and for how long
Worth knowing: modern systems store a mathematical template rather than an image, and the template cannot be reversed into a fingerprint. That is a useful thing to be able to tell staff who are uneasy about it, and staff being uneasy is the most common reason these projects stall.
The payroll question that decides the ROI
Ask the vendor to show you the export, not describe it. Attendance data has to reach your payroll process in a form it can consume, or somebody re-keys it every month and the saving evaporates.
If the answer is a CSV that needs manual reformatting, factor that time back into the business case.
Enrolment is the project
Installing readers takes a day. Enrolling three hundred staff around shift patterns takes considerably longer and has to be planned around production rather than during it. Ask how enrolment will be handled before you sign — it is where these projects overrun.

The device is the easy part; the exception handling is what determines whether payroll can rely on it. Our biometric access control in Kerala page covers both, and IT networking matters more than expected, since a reader that cannot reach the server records nothing.
