Software Licensing & Compliance in Kerala

Most organisations pay for licences nobody uses while running something critical on one that does not cover them.

OptiFi Technologies helps organisations across Kerala buy, manage and renew business software without overspending or falling out of compliance. Most businesses we assess are paying for licences nobody uses, while running something critical on a licence that does not cover their actual usage. Both are expensive, and neither shows up until a renewal invoice or an audit letter arrives. We inventory what you own, match it to what you use, and manage renewals so they stop arriving as surprises.

Two Expensive Problems, Usually at Once

Overspend and exposure are not opposites

Almost every licence review we run finds the same pair of problems. There are seats being paid for that nobody has signed into for months — often for staff who left — and at the same time something important is running on a licence that does not actually cover the way it is being used.

Neither surfaces on its own. The first hides inside a renewal invoice that gets approved because it looks like last year's. The second surfaces only during an audit, when the remedy is backdated licensing plus penalty rather than a quiet correction.

A licence inventory costs very little and usually pays for itself out of the first renewal. That is not a promise of savings — it depends entirely on how much drift has accumulated — but it is the pattern we see most often in organisations that have grown without anyone owning this.

What a Licence Review Covers

Inventory, usage, then decisions

Inventory

What you own, under which agreement, and when each renews — usually the first time this exists in one place.

Actual usage

Assigned seats measured against genuine sign-in activity, which is where the unused licences appear.

Compliance gaps

Where usage exceeds entitlement, including the cases people do not realise count, such as server access or shared accounts.

Right-sizing

Matching each user to the tier they actually need. Not everyone needs the top plan, and the difference across a headcount is significant.

Renewal calendar

Dates, owners and budget forecast, so renewals stop being surprises.

Eligibility check

Whether academic, charity or non-profit pricing applies. Schools and trusts frequently qualify for terms they are not claiming.

Vendor-Neutral by Design

What we are, and what we are not

OptiFi is a certified partner for Zoho, Odoo and Microsoft, and an authorised partner for Dell and HP hardware. Where a recommendation involves one of those, that relationship is disclosed rather than buried.

For everything else we act as procurement advisers rather than resellers. We will help you buy the right Adobe, Autodesk or specialist software licences through the appropriate channel, and we will tell you plainly when we are not the party you should buy them from. Presenting ourselves as an authorised reseller for products where we hold no such agreement would be simple to write and dishonest.

The practical benefit is that our recommendation on tier and quantity is not shaped by margin. Advising you to drop twenty unused seats costs us nothing, and it is frequently the first thing a review produces.

For Schools and Institutions

Academic pricing is worth checking

Educational institutions in India frequently qualify for academic pricing that is substantially below commercial rates, and equally frequently are not claiming it — either because nobody checked, or because the entitlement was set up years ago and never revisited as the institution grew.

Eligibility rules differ by vendor and depend on how the software is used, with student, staff and administrative use sometimes treated differently under the same agreement. We check eligibility properly rather than assuming, because claiming a discount you do not qualify for creates the exact audit exposure this service exists to remove.

The same review covers device licensing for computer labs, where per-device and per-user models produce very different totals depending on how the room is actually used.

Frequently Asked Questions

How much can a licence review actually save?

It depends entirely on how much drift has accumulated, so we will not quote a figure in advance. What we find consistently is unused seats — commonly for staff who have left — and users on tiers above what they need. The review is a fixed, modest fee and typically pays for itself from the first renewal.

Are you an Adobe or Autodesk reseller?

No. We are certified partners for Zoho, Odoo and Microsoft and authorised for Dell and HP hardware. For other vendors we act as procurement advisers and help you buy through the correct channel. We would rather tell you that than claim a partnership we do not hold.

What happens if we are found non-compliant during an audit?

The usual outcome is backdated licensing plus a penalty, which is considerably more expensive than correcting it beforehand. That is the entire argument for reviewing proactively — a gap found by you is an invoice, and a gap found by an auditor is a negotiation.

Do schools get cheaper software?

Often, yes. Academic pricing is available from most major vendors and is frequently unclaimed. Eligibility depends on the institution type and how the software is used, so we verify it properly rather than assuming — claiming a discount you do not qualify for creates the exposure you are trying to avoid.

Can you manage our renewals for us?

Yes. We maintain a renewal calendar with dates, owners and forecast cost, and flag each one in advance so it is a decision rather than an auto-renewal nobody reviewed.

We use free and open-source software. Do we still need this?

Possibly. Open-source licences carry obligations too, and some prohibit particular commercial uses or require attribution. It is a smaller exposure than commercial licensing but it is not zero, and it is worth knowing where you stand.
