How Microsoft 365 Licensing Works in India

Microsoft 365 is sold in tiers that look similar and behave very differently. Business Basic has no desktop applications. Business Standard has them. Business Premium adds the security and device management that most of the plan's real value sits in — and it is the tier most Indian SMEs should be on and most are not, because the difference is invisible in a demonstration.

The waste usually runs the other way too: licences still assigned to people who left, enterprise tiers bought for a requirement Business Premium already covers, and duplicate subscriptions from a period when two people were purchasing independently. A licence review before renewal reliably pays for itself.

Billing in INR with GST-compliant invoices: you pay in rupees against an invoice your accountant can claim Input Tax Credit on, rather than a dollar charge on somebody's card. Annual and monthly commitments price differently, and it is worth understanding what the second year does before signing the first.

Storage & Data Management (OneDrive & SharePoint)

OneDrive is personal storage — drafts and individual work, roughly 1 TB per user. SharePoint is shared. The distinction sounds pedantic and is the single most consequential thing to get right, because the common failure is important business documents living in individual OneDrive accounts. When that person leaves, the organisation loses access to work it owns.

Replacing an office file server with SharePoint is usually the right move, but not by copying the shared drive across unchanged. That reproduces fifteen years of accumulated folder chaos somewhere more expensive. The structure — sites organised around teams and functions, with permissions following the structure rather than applied folder by folder — should be agreed before anything moves, because it is the only cheap moment to decide it.

Retention and version history are the two settings nobody switches on until they are needed. Version history recovers the file somebody saved over, which is a far more common loss than deletion. Retention policies decide what is kept and for how long, which matters for any business with record-keeping obligations under Indian law.

External sharing deserves the same deliberation. Left at defaults, many tenants issue anonymous links that never expire, so a document shared with one vendor two years ago is still reachable by anyone holding that link today.

Collaboration & Communication (Microsoft Teams)

Most organisations use Teams as a chat application and stop there. That is the expensive way to own it, because chat is the one part with no institutional memory — a decision taken in a direct message vanishes the day that person leaves, while the same decision in a channel is still there two years later. Anything that outlives a conversation belongs in a channel.

Meeting rooms are where the daily cost sits. Four minutes at the start of every meeting while somebody finds a cable, works out which input the display is on, or discovers the room and the laptop disagree about audio — across a company that is a significant amount of paid time. A room built properly removes the decision: one obvious way to present, the display already on the right input, audio that routes without configuration.

Working with clients and vendors inside Teams is genuinely more efficient than email attachments, and it also puts external people inside your collaboration space. Guest access with defined permissions, multi-factor authentication enforced on external accounts, and private channels for commercially sensitive work make it safe enough to use properly. Left at defaults, a guest added for one project keeps access indefinitely.

Teams Phone can replace a traditional PBX, using Direct Routing or Operator Connect with an Indian telecom provider so your team makes and receives PSTN calls inside the app. Worth scoping against your existing lines and numbers before cancelling anything.

Security & Identity (Defender & Intune)

A new Microsoft 365 tenant is not secure out of the box, and the recurring finding when we audit one is not that the business bought the wrong tier — it is that they bought the right one and never enabled what they were paying for.

Multi-factor authentication is the first gap, and it is usually switched off for exactly the executives most worth targeting. Conditional access — judging a sign-in on location, device and risk rather than on a password alone — is frequently absent entirely. Neither costs extra where Business Premium is already licensed.

Business email compromise is the loss that actually happens, and it is not sophisticated: an attacker reads a mailbox quietly for weeks, then intervenes in a genuine invoice conversation with amended bank details. Nothing breaks and no alarm sounds. Alerting when a mailbox starts forwarding externally catches the classic first sign, and a finance rule that changed bank details are verified by phone to a number you already held is free and stops most of the loss.

Intune handles the devices. That single sign-on then extends to third-party applications — an HRMS, a CRM, an ERP — which improves security and removes the password sprawl that makes access reviews impossible.

Data residency is a question worth settling before provisioning rather than after. Microsoft operates data centres in India, and for organisations with strict compliance requirements the tenant can be provisioned so that core customer data stays within Indian borders. It is set at provisioning and is not a switch to flip later.

On performance, the honest answer is that heavy data work still favours the desktop. Excel on a local machine handles millions of rows and complex Power Query transformations using your own RAM, where a browser-only spreadsheet will struggle — which is one of the clearer arguments for a tier that includes the desktop applications rather than Business Basic.

Bandwidth matters less than people expect and consistency matters more. Microsoft 365 is tolerant of modest connections and intolerant of unstable ones, so for an office on a single unreliable line the useful fix is usually a second connection with automatic failover rather than a faster primary.
