Managed IT contracts look similar until something goes wrong. The clauses that decide what happens then are rarely the ones being compared.

Managed IT is usually priced per device or per user, per month. That much is standard. What varies enormously is what the figure actually buys, which is why two quotes at similar prices can be entirely different products.

Per user or per device?

Per-user pricing suits businesses where people have a laptop and a phone and work anywhere. Per-device suits businesses with shared machines — a shop floor, a lab, a clinic where five people use one terminal.

Neither is inherently better. Pick the one that matches how your business actually works, and check which the quote assumes, because the same organisation can price very differently under each.

What a contract should cover

Proactive monitoring of servers, network devices and critical endpoints

Helpdesk with response times committed by severity, not best-effort

Patching on a tested schedule for operating systems and business applications

Backup verification by actual restore, reported

Security management — endpoint protection, firewall policy, access reviews

Asset and licence inventory, kept current

The exclusions that cause arguments

Every contract has exclusions and a provider unwilling to state them plainly is deferring a dispute to your worst day. Ask specifically about hardware replacement cost, project work versus support, third-party software the vendor does not control, and out-of-hours attendance.

Get the answers in writing before signing, not after the first incident that falls in the gap.

Break-fix is not cheaper

Paying only when something breaks looks economical until you count the hours your staff lost, the work redone, and the customers who went elsewhere while you waited.

It also creates a structural conflict: a break-fix provider earns more when more things break. A fixed monthly fee inverts that, so every prevented failure is in the provider's interest as much as yours.

The questions that reveal quality

How often do you actually restore a backup to test it, and will you show me the report?

What are your response times by severity, in writing?

Who owns our documentation, network diagrams and credentials?

What happens at offboarding if we leave — how fast is handover?

The last one is the most revealing. A provider confident in their service answers it without hesitation.
